A senior employee resigns and spends their final week downloading client records, project files, and commercially sensitive documents to a personal drive. A contractor whose engagement has ended retains copies of files they were legitimately given access to during the project. An employee forwards a confidential document to a personal email account, either carelessly or deliberately.

In sach case, the file has left the building. With conventional security, that is where your control ends. The data is out. Whether it gets used against you depends entirely on the intentions of the person who has it.

Most organisations focus on keeping sensitive data inside the perimeter using firewalls, access controls, DLP, and monitoring.

The real question is: once the file leaves, can you still control who opens it, revoke access, or stop it being used? If not, one lost file can become a major incident.
